Protocol for Publicizing Events on Woodruff Health Sciences Center Web site

Below is the protocol for those who wish to know how to publicly advertise events on the WHSC Web events calendar located at http://whsc.emory.edu/. Note : Our office does not schedule event locations or make reservations. This is only meant for promoting pre-scheduled health sciences events on our Web site. (If you wish to book rooms located in the Woodruff Health Sciences Center visit http://r25web.cc.emory.edu/WHSCAB and for the WHSC auditorium http://r25web.cc.emory.edu/WHSCAB_servlet/urd/run/wv_request.Request?roomid=135)

Instructions for those who reserve event spaces using R25:
When requesting your location space, make sure to select Public Event as your Event type, then once your space is approved, the event will automatically display to our Web site.


Instructions for those who don't use R25 for reserving event spaces but still wish to publize an event:
  1. Obtain an account user name and password by clicking here.

    In order to be approved for an account, you must be an Emory Healthcare employee or an Emory University employee within one of the health sciences departments, which includes Emory School of Medicine, Emory School of Nursing, Rollins School of Public Health, Winship Cancer Institute, and Yerkes National Primate Research Center.


  2. Once you have received your user name and password, click on My Requests or click here. Then, log in, complete and submit the online form.

    Required fields include:

    Event Title - Keep in mind when creating the title, that the title will be the teaser for enticing Web users to click onto your event.

    Event Type - Choose any type that best describes your event.

    Sponsoring Organization - If the organization is not in the drop down list, please select Med Health Sciences Communications and indicate the name of the correct organization in the Notes for Web Administrator field at the bottom of the form.

    Event Date and Time - please enter the actual time of the event; set-up and take-down times can be entered lower on the form

    Location of Event - make sure that the location is booked for your event prior to going any further

    Contact Information - list contact that would be able to provide more information on the event

    Event Description - The event description will be viewed by users on the Web site so please be as descriptive as possible. Include names of lecturers, location details, topic, costs, if RSVP is required, contact for event, etc.
The WHSC web administrator reserves the right to make changes to the title and event descriptions for editorial purposes.
